Apply to Become a Grom Weekend Co-Organizer
Are you interested in event organizing? Our team is currently looking for co-organizers for The Grom annual event in the U.S. Co-organizing requires taking on responsibilities, both before and during the event.Â
In exchange for their considerable commitment of time and energy, co-organizers receive free room, meals and registration for the entirety of the event.Â
For all Grommr-organized events until now, the event organizer has not been a paid position, a policy we decided as part of our efforts to keep events as affordable and inclusive as possible. We’ve recently decided to change that policy in order to ensure large and logistically complicated events like The Grom and EuroGrom can endure well into the future. As a result, the person taking on the role of Lead Organizer will receive a stipend to compensate for the additional workload and responsibility.
Each co-organizer is responsible for several key duties, which may include:
Prior to the event:
Researching hotels and securing a room block for our group
Researching catering vendors and securing orders
Researching logistics for attendees (such as transport options, good restaurants, etc.)
Planning the weekend itinerary of events
Setting the final expense budget and pricing for the event
Writing website copy and updating the website with new details
Posting regular updates on Grommr regarding deadlines and room bookings
Securing a group of volunteers and setting a schedule of duties
Communicating with attendees in the weeks leading up to the event
At the event:
Arriving at the event a day early and overseeing shopping trips for supplies
Working with the hotel to solve late cancellations and room changes
Managing the registration check in process
Welcoming guests to the event and providing help when needed
Overseeing the volunteers throughout the weekend
Stay in touch with and pay vendors for food/services as the weekend progresses
Interacting with hotel staff around cleaning and other issues
